Performing A Conversion Of Bibliographic Record

This page assumes that you have already set up your computer and installed the Word to XML bibliographic converter, according to the instructions.

  1. Place the files to be converted in the /docs folder in the folder that contains the converter files. All the source files should be named using the following convention, {sigla}-{text number}-bib.doc, as for example, N-0052-bib.doc.
  2. Open the Word document "CatalogProcessing.doc"--this is in the "BiblConverter" folder. This is the document that contains the conversion macro. Note: You must have macros enabled for the document. To check this, go to Tools --> Macro --> Security and make sure the level is set to "Medium". With this setting Word will prompt you whether to allow macros or not.
  3. The CatalogProcessing.doc document has a custom menu called "Catalog Conversion". From this menu, choose "Convert Catalog Records".
  4. This will open a dialog box. In the dialog box:
    1. In the "your initials" box enter your four digit THL roster number, preceded by per; e.g., per3141
    2. Enter the edition sigla in the "sigla" box (be sure to enter a capital letter if the sigla is a capital letter)
    3. Choose the appropriate template from the drop down list "Choose XML Form:"
  5. Then press Enter. This will begin the conversion process.
  6. When a message box appears saying the conversion is complete, press "OK" and the second phase will begin.

From the time you press the initial Enter button the conversion will proceed mostly on its own. However, the conversion is in two stages. First, the Word macros will convert the Word tables into XML documents. Then, the converter will call a DOS batch file to apply XSLT stylesheets to the XML and convert the Wylie into Unicode Tibetan. At the end of the first stage, the macros will alert you as to which documents where converted and then run the batch file.

If it does not already exist in the converter folder, the converter will create an output folder called "XML_Files". The converted XML documents with Unicode Tibetan will be in this folder. Any subsequent conversion may write over these files so they should be moved to another location and then cleaned up or edited.
