Archiving Documentation

Image Collections not only needs to be put into the THL, they also need to be archived here at the THL office.

Here are the steps, in a nutshell:

  • We presume you have a disk with images you would like to archive.
  • Have a seat at Gertrude, the Mac in the Digital Media Lab office, and pull up the FilemakerPro Imagedb_Master_(most-recent-date)
  • Check to see if they're in the FMP Master.

  • We presume you have a disk with images you would like to archive.
  • Have a seat at Gertrude, the Mac in the Digital Media Lab office,

and pull up the FilemakerPro file "Imagedb_Master_most-recent-date"

  • Check to see if they're in the FMP Master yet.

Making sure you are in FIND MODE, enter the date prefix of any filename (should be written on the disk itself if from DLPS - convention is "datescanned_threedigitnumber"), hit return.

  • IF the pix ARE in the FMP Master, they will then appear there. If

they have catalgoing info, then don't overwrite that. Copy the support files to belly:tibet:Image Management:

  • the .ivc and .txt files into the "iView_Cats_YES_FMP" folders
  • Web files into the "Web_YES_FMP" folders, all inside their respective donor/project name'd folders.
  • IF they are NOT in the FMP Master, then take the preliminary info

that DLPS provided and copy the support files to belly:tibet:Image Management:

  • the .ivc and .txt files into the "iView_Cats_NO_FMP" folders, and
  • Web files into the "Web_NO_FMP" folders, all inside their respective donor/project name'd folders.
  • Finally, copy the images themselves into the 1tb drive available at the time,
  • Put the disk itself into a paper sleeve, not its jewel case, and

deposit in the ugly manilla colored plastic boxes of cd holders in the DML space. Put a postit on the first of each collection/series of disks with the following info:

    • Archived images and support files?
    • Added to FMP?
    • Added to MySQL?
    • On Image server?
    • Contributor notified that Collection is on the THL?
    • Originals returned to Contributor?
    • Contributor provided with Gallery or some high quality version of their processed-by-thl work on a disk?
